🏗️ Team & Collaboration Guide: How it Works
Welcome to the Team system! We’ve built a secure environment where you can organize your company and share sensitive financial data with the right people.
1. The Hierarchy
Think of it like an office building:
- The Organization: Your "Building." Represents your company (e.g., "Autonomous World, Lda"). It manages billing and high-level membership.
- The Groups: The "Rooms." You might have a group for "Finance," "Management," or "Logistics."
2. Setup & Management
Organizations: Navigate to the Organizations tab to create your company. Invite members via email; they appear as "Pending" until they click Join on their dashboard.
Groups: Create groups within your Org. You can add any Org member to a group. Tip: Removing a user from a group revokes access immediately.
3. How Sharing Works
When viewing an invoice, click "Share with Group." Only active members of that group can see the invoice.
A secure Token (?t=) is generated. If a user tries to use that link but isn't logged in or isn't a member of that group, they will be blocked.
5. Frequently Asked Questions
| Question | How it Works |

| Can I see invoices without a link? | Yes! Just go to your Home Dashboard and set the filter to "Shared with me." Everything you have access to will appear there. |
| What does "Pending" mean? | It means an invitation was sent to that person, but they haven't clicked "Join" yet to activate their membership. |
| Who can edit tags? | Only the original owner of the invoice can change tags. Group members have "View Only" access by default. |
🛡️ Why Our System is Secure
Every time an invoice is opened, the system performs a Triple Check to protect your data:
- Are you the Owner?
- If not, is there a valid Share Token?
- If yes, is your account an Active Member of the group that owns that token?
Every access attempt is recorded in our internal Audit Log for your protection.
