Transparency Note
When you upload an invoice, you're often handing us someone else's financial document — a vendor's tax ID, a customer's address, line items, totals. You should know exactly what happens to it.
This is the plain-language version: no legal hedging, just what the system does, who sees your data, and what we don't do with it. For the formal detail — legal bases, your rights, exact retention periods — read our Privacy Notice.
What happens when you upload an invoice
- You upload it. The file travels over an encrypted connection to your account's private storage on Microsoft Azure. Only you — and your teammates, if you're on a shared plan — can see it.
- We read it. Azure AI Document Intelligence performs OCR and pulls out the structured fields: vendor and customer details, tax identifiers, dates, invoice number, totals, currency and line items.
- We make it searchable. The extracted text is turned into embeddings so you — and the agents you connect — can search and ask questions across all your invoices, not just filenames.
- You review it. The extracted values appear in your account — visible to you, and, where an invoice is shared with a group, to the active members of that group. Every field is yours to check and correct.
- You put it to work. Browse history and dashboards, export it, or connect an AI agent to query it in natural language.
Who processes your data — and what each one does
We use a small set of specialist providers, each under contract, each doing exactly one job. These aren't hidden — they're the same providers named in our Privacy Notice.
- Microsoft Azure — hosts the service, stores your files, and runs the OCR and extraction engine (Document Intelligence).
- OpenAI — turns your invoice text into embeddings so it's searchable, handles some lightweight classification, and powers the built-in AI agent that answers questions about your invoices.
What we don't do
- We don't train AI models on your invoices — not our models, and not our providers'.
- We don't sell your data. Not to anyone, not ever.
- We don't build advertising profiles from your invoices or your account.
- We don't act on your behalf automatically. Extraction helps you work; it doesn't make decisions about you without you.
AI gets things wrong — and we don't pretend otherwise
Automated extraction is fast, but it isn't perfect. A smudged scan, an unusual layout, or a handwritten total can all trip it up.
So we put you in control. Every extracted field is editable, and in your invoice views your correction replaces the model's first guess as the value we show. Where the extraction engine reports how confident it was in a field, we show you that score rather than hiding it — but a score is only a hint, never a substitute for your review. What you see is what was read; what you fix is what we show you.
Where your data lives, and for how long
Your invoices and their data are hosted primarily in the European Union, in Microsoft Azure's West Europe region, encrypted in transit.
We keep your data for as long as you need it, and remove it when you do. The exact retention periods — for active data, deleted invoices, backups and logs — are set out in the Privacy Notice.
Agent access, on your terms
You're in control
- Review and correct any extracted field.
- Export your data.
- Delete an invoice — its original file and extracted data go with it.
- Delete your account — we cancel your subscription, permanently remove your invoices and files, and anonymize your account. It's real, and it's irreversible. See how account deletion works in the Privacy Notice.
